Terms & Conditions

Please read the following terms and conditions carefully. Your contract is with Ankasa Reserve Lodge Ltd, Registered Company No. C referred to as ‘the Company’, whose registered office P. O. Box CC 1423, Cape Coast, Ghana. References to ‘You’ or ‘Your’ in these conditions mean the person or persons included on the booking form to whom these booking conditions apply. These conditions set out the complete agreement between You and the Company.

PAYMENT POLICY

A pro-forma invoice detailing the requested package will be forwarded to your company at the time of each booking.

We request that your company initiates a 30% non-refundable deposit at the time of booking to secure the booking, guaranteeing the booking and full and final payment within 30 days of guest or group arrival. If booking is made within our 30-day final payment period, full payment at the time of booking is required to confirm your booking. Please note bookings are not confirmed until we receive the 30% deposit, in addition if final payment is not made prior to our 30-day final payment period, we reserve the right to release the rooms to other interested parties. All extras will be settled at the Lodge prior to departure.

Failure to pay the deposit within 5-days of booking, may result in the booking being released without any further notice unless negotiated by prior arrangement with the General Manager of Ankasa Reserve Lodge.

CANCELLATION POLICY

Cancellation by you:

Should you wish to cancel for any reason, please do ensure that you are aware of the details given below:

  • Up to 16 days prior to arrival date, 30% non-refundable deposit of the package charge will be charged as a cancellation fee.
  • 6 – 15 days prior to arrival date, 50% of the package charge will be charged as a cancellation fee.
  • 5 days or less prior to arrival date, 75% of the package charge will be charged as a cancellation fee.
  • Less than 2-days prior to arrival, full payment of 100% of the package will be charged as a cancellation fee.
  • Group Booking (10 guests or more) – Bookings cancelled less than 15 days prior to arrival, will forfeit 100% of the package charge and will be billed as such.
  • As a No-show you will forfeit 100% of confirmed booking amount.

Our right to cancel

Your breach

We may cancel your reservation at any time with immediate effect by giving you written notice (which includes email) if: you do not pay us when you are required to do so, or you breach the contract between us in any way, or you have previously breached the contract between us in any way.

If we cancel your reservation where you are at fault, we reserve our legal rights in respect of your breach of contract. Where your stay had/has not yet commenced, the total payment made or to be made by you for such room shall be deemed a cancellation charge and is not for any service.

Events outside our control:

We may also cancel your reservation if an event outside of our control (including industrial action, explosion, outbreak of disease, health and safety issues, fire, flooding, and failure of power and/or water supplies or emergency evacuation) means that we are unable to make your room available to you. In this case we will contact you to let you know as soon as possible and: If you have already paid for your room, we will refund your payment to you, or If you have not yet paid for your room, you will not have to make any payment to us.

Save as set out above, we will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations that is caused by an event outside of our control. This does not affect your statutory rights.

CHILDREN POLICY

We do have a nominal charge for children. We request you to please be aware of the same

  • Children below 5 years are considered complimentary sharing with the parents without extra bed.
  • Children between 5 and 12 years, sharing with parents are charged additional rate per person night inclusive of extra bed and appropriate to the package selected.
  • Children above 12 years, will be considered adults. Hence as a third person would be considered as an extra bed charge at the stipulated package rate per adult per night inclusive of bed and breakfast.
  • Children between 5 and 12 years with a separate room would be treated as adult charges.
  • Children below the age of 5 are able to select food items from our kid’s menu and are billed accordingly.

FORCE MAJEURE

The Lodge agrees to ensure continuity of service throughout the term of the agreement, except where such continuity is perverted by virtue of major business interruption. This could be due to circumstances such as but not limited to power cuts, major equipment failures, fire, flood, strikes, pickets, lock outs, pestilence, endemic illness, storm, tempest and acts of God. In such events the Lodge shall advise the company as soon as possible of the nature and extent of the discontinuity.

LIABILITY

When agreeing to stay at Ankasa Reserve Lodge, you do so at your own risk and agree to exempt the lodge of any liability for the death or injury relating to your stay in this wildlife location. When booking you accept and understand that the lodge is located at Ankasa Reserve where there is dangerous and deadly wildlife on our doorstep. The liability of the Lodge in respect of lost or damaged goods shall be limited to the Hotel Proprietors Act. Any other damages or losses suffered by your organization, or its employees shall be determined by the courts.

APPLICABLE LAW AND JURISDICTION

This agreement shall be exclusively governed by and the provisions thereof shall be construed in accordance with Ghanaian law and any dispute regarding this Agreement shall be subject to the exclusive jurisdiction of the Courts of Ghana.

BOOKING AND PAYMENT POLICY

BOOKING/RESERVATION DETAIL

The person making the booking must be at least 18 years old and must be authorized to make the booking on behalf of all the people named on the booking. By making a booking the party leader confirms that he/she is so authorized and all-party members agree to be bound by our terms and conditions. It is the party leader’s responsibility to ensure payment has been made for the entire group within the outlined timeframe in our terms and conditions to secure the booking. For each reservation, please ensure that the full names of the Guests / Nationality / Date of Birth / and any special occasions such as birthdays’ anniversaries; events; conferences; celebrations; repeat visits or any other interesting and pertinent information is mentioned on the request so that the Lodge Team can make every effort to ensure that your guests have a more personalized experience at Ankasa Reserve Lodge. Please also ensure to inform us of any dietary requirements, allergies or medical conditions you feel we need to be aware of.
